Corporate Event Management and Production in Hong Kong

TOLOSTUDIO plans, designs and produces corporate events in Hong Kong. Creative, planning and production management stay with one in-house team, and that team is on site from the first hour of load-in until the last case is packed. When a brief needs specialist fabrication or extra technical gear, it comes from partners working under our direct supervision.

We were founded in 2019. Our founding team brings a combined 20+ years of event experience, and we have delivered 200+ events in Hong Kong.

They range from 50-person executive roundtables to multi-day conferences for thousands of guests.

How a project runs

1. Brief and site visit. We start with your goal, guest list and budget, then check the venue's power, rigging points, acoustics, loading access and crowd flow.

2. Concept and itemised budget. You get a creative concept and a budget broken down line by line. Venue overtime and permit costs are flagged upfront.

3. Production. Staging, AV, lighting, screen content and talent are built and booked. A change in scope goes through a written change order before money is spent.

4. Rehearsal. Technical rehearsals and a full dry run before guests arrive.

5. The night. One Lead Producer makes the final call on site.

6. Afterwards. Final budget reconciliation, photos and video, attendance figures and a short report with ideas for next time.

For galas and conferences, book two to six months ahead. Boutique VIP events and launches can work in two to eight weeks.

Chambers of commerce, charities and global brands, including the Canadian, British and Italian Chambers of Commerce in Hong Kong, St James's Place, The HUB Hong Kong, Christina Noble Children's Foundation, Po Leung Kuk and the St Patrick's Society.

Many of them come back. Our portfolio includes six editions of The HUB charity gala, three CanChamHK annual events, and the Italian Chamber of Commerce gala plus two Christmas dinners. Venues include the Ritz-Carlton Hong Kong, the HKJC, the Royal Yacht Club and the M+ Museum.

How much does an event cost? There are no fixed packages. Our fee is either a flat project fee or a percentage of production volume, and every budget is itemised. What drives event budgets in Hong Kong

Do you handle permits? Yes: public entertainment licences, structural safety certificates and copyright permits for music, where the event needs them.
